Information pursuant to Art. 13 General Data Protection Regulation (GDPR) on the processing of personal data at Helmholtz Munich events - Photography and Filming

In the following, we inform you about the processing of your personal data by Helmholtz Zentrum München Deutsches Forschungszentrum für Umwelt und Gesundheit (GmbH) (hereinafter „Helmholtz Munich“) at Helmholtz Munich events (photography and filming) as well as about the claims and rights to which you are entitled according to the data protection regulations.In the following, we inform you about the processing of your personal data by Helmholtz Zentrum München Deutsches Forschungszentrum für Umwelt und Gesundheit (GmbH) (hereinafter „Helmholtz Munich“) at Helmholtz Munich events (photography and filming) as well as about the claims and rights to which you are entitled according to the data protection regulations.

During the event, photographs and videos will be taken. The aim is to record aspects of the event so that we as organisers, but also all other organisations involved, can present and publicise the course of the event to the press, the public and other interested parties. It cannot be ruled out that people can be directly or indirectly identified in the photographs, so that this is personal data within the meaning of the GDPR. 

If you do not wish to be photographed or filmed, please inform the photographers. Our photographers will do their best to take this into account, but it may not be possible to avoid this if the lecturers or speakers are being photographed with an audience. In these cases, we try to ensure that faces and voices – apart from those of the speakers – are as unrecognisable as possible.

1. Purposes of data processing

Helmholtz Munich has a journalistic (e.g. through press releases), idealistic (e.g. through internal reports on the intranet) and also economic (e.g. advertising for follow-up events) interest in documenting the event and reporting on it with pictures. The purpose of the photography and filming by Helmholtz Munich is the pictorial representation of the event on the Centre's website (https://www.helmholtz-munich.de/) and social media channels (Instagram, Twitter, LinkedIn, Vimeo, YouTube, Helmholtz video portal) as well as the pictorial and decorative design of print publications (brochures and reports of the Centre) and press releases.

2. Categories of data processing

In the course of events, photographs and film recordings are made in which it cannot be ruled out that you are recognisable.

3. Legal basis of data processing

It is in the legitimate interest of Helmholtz Munich pursuant to Art. 6(1) point (f) GDPR to use photos and/or film images in which you may be recognisable for publication (print, online, social networks, etc.) for the purposes stated under section 1.

4. Recipients of the data and transfer to third countries (Non-EU countries)

As part of our public relations work, we will publish pictures of the event on our website and send photos to the press. Persons who receive coverage in print and press releases and on the Helmholtz Munich website and social media channels, as well as internal employees, will become aware of the photos and film footage.

When publishing personal photo and video recordings on one of our social media channels, the transfer of the recordings to a country outside the EU/EEA cannot be ruled out.

5.Duration of processing, deletion of data

Your personal data will be stored for a period of five years. An exception applies to photographs and film footage that have historical value and are permanently archived for use in future Helmholtz Munich historical publications.

Your stored personal data will generally be deleted when it is no longer necessary to process it in order to fulfil the purpose for which it was stored or if its storage is not permitted for other legal reasons, unless legal storage regulations prevent its deletion. In the latter case, the deletion is replaced by a restriction of processing (blocking).  

6. Rights of Data Subjects under the GDPR

You are entitled to the rights set out below in connection with the processing of your personal data:

  • According to Art. 15 GDPR, you have the right to access any personal data relating to you that is processed by Helmholtz Munich.
  • According to Art. 16 GDPR, you have the right to the immediate rectification or completion of any inaccurate or incomplete data we hold about you.
  • According to Art. 17 GDPR, you have the right to demand the erasureof all the personal data we hold about you, provided that processing is not required in order to exercise the right to freedom of expression and information; in order to comply with a legal obligation to which Helmholtz Munich is subject; in order to complete a task that is in the public interest; or in order to establish, exercise or defend legal claims.
  • According to Art. 18 GDPR, you may demand that processing of your personal data be restricted, if you contest the accuracy of the data, or the data is processed unlawfully.
  • According to Art. 20 GDPR, you have the right to obtain the data we hold about you in a structured, commonly-used and machine-readable format, and to transmit that data to another controller without hindrance, or to arrange for us to transmit the data.
  • According toArt. 21 GDPR, you have the right to object to the processing of your personal data, provided there are grounds for doing so relating to your particular situation. If you object, your data will no longer be processed unless Helmholtz Munich can demonstrate compelling legitimate grounds for processing that override the interests, rights and freedoms of the data subject, or where processing is required to establish, assert or defend legal claims.
  • According to Art. 77 GDPR, you have the right to lodge a complaint against Helmholtz Zentrum München Deutsches Forschungszentrum für Gesundheit und Umwelt (GmbH) with the relevant supervisory authority, specifically:
